Service Desk Planner / Administrator Wanted!

We are looking for an individual with strong administration experience to join our team. Ideally the candidate will have some scheduling and administration experience however this is not essential.

Roles & Responsibilities

    • Engineer resource will be allocated to the portfolio of accounts, and you will be responsible for
    • ensuring all engineers have allocated jobs
    • Checking paperwork from all jobs carried out the day before
    • Regular communication with the account manager to determine the appropriate action, should
    • job need to be escalated on Job logic this process to be followed
    • Chasing paperwork and any overdue jobs for engineers assigned to portfolio
    • Issuing approved paperwork to the client
    • Raising certificates where required
    • Escalating jobs to the Account Manager assigned to the portfolio
    • Escalate any engineer concerns to Account Manager /Training Manager
    • Escalate engineer annual leave request, this to be approved via Account Manager
    • Checking lab report to ensure correct samples have been booked in
    • Create reports – collate all the information, photos etc. Air, Tank inspection – site specific
    • Pass jobs through for invoicing – checking PO, Values, paperwork, description are all correct
    • Liaise with Account Managers RE Abortive charges, missed visits, other queries from clients etc. – could be cost related, part invoice etc.
    • Responsible for scheduling portfolio of accounts allocated to yourself and the Account Manager
    • Answer all incoming calls and distributing accordingly.
    • Ad hock tasks – emails, queries etc.
    • Scheduling all jobs for the engineers – book in with clients and get booking confirmations.
    • Run weekly reports on all jobs still to be scheduled to include historic report to ensure no jobs have been missed
    • Update jobs with specific notes i.e. booking notes/confirmation details.
    • Liaise with engineers regularly
    • Send all job sheets for the engineers daily
    • Raise new jobs, contracts and order any materials needed for the job.
